PCA-TVR 2022 Board of Directors Meeting 1/10/2024

Attending 2024 Board Members: Victoria Varon, Tom Armstrong, Richard Wall, Jerry Konchar, William Whitney, Don Snyder Absent: Beth Korkin

 

Call to Order: 6:40 pm

 

President (Victoria): 

Website Update: we have a new site, coming live by next week! Includes sponsorship page, member forum, events page and a fresh new look. Richard Motion to approve up to $30/mo for web maintenance, Tom Seconded All BOD voted yes, passed.

Cambria Markets Tour – 12/21-12/23 (19 people attended, will do again next year)

Porsches and Parks planning underway for Fall 2024

           

PCA Zone 8 President’s Meeting Notes:

Zone 8 = 16 Regions, 18,000 primary regions, 2nd largest in the country, PCA over 100k members, largest car club in country.

Insurance and Risk Management:

*Always important to get insurance requests in 3 weeks prior to event.  Bring certificate to the event. If you cancel the event, cancel the insurance… keeps our costs down. Can ask for insurance at top of the year for all year events that you know are planned for the year, but you must know the stop and start and in between destinations. BOD are covered for liability.  (As long as we follow all the rules.)

*Waivers must be in red or are not viable waivers. (May need to order more, call National). Keep waivers for 7 years, can keep electronically. Put them in the “glove box” via PCA site)

Events not allowed – Karting, drones allowed with DUA# for National Office, Bounce Houses, Fireworks, Carnival Rides, Thrill rides, drifting, Hill Climbs, co-hosted driving events with non-PCA groups except Club Racing. Always check for venue restrictions.

Be careful of websites and social media. Articles/postings disparaging individuals and businesses should be avoided. Be careful with license plates.

Must fill out post event reports, observer reports for ALL events and incident reports (as needed)

Goals for 2024:

Increase membership by 5+ new members per month and retain current members

Increase our volunteer pool to grow our volunteer base by 10 new member volunteers this year.

How we will do it:

~ New and ongoing events: Viking Cruise in June, Hoe Down in November, Porsches and Parks, 2 Mystery Weekend tours, other overnight tours, dog waterpark Sunday funday, Charity tea and fashion show for Rose Again Foundation, Quarterly Porsches and Pours at local wineries and breweries, Monthly Porsches and Coffee with back country tour, board meeting socials, Second Tuesday Social Dinners and Hump Day Drives.

~Creating community affiliates to sponsor and market our club

 

Secretary (Victoria for Beth):

Approve November Meeting minutes. (No BOD meeting in December) Richard motion, Jerry Second, All BOD voted yes, passed.

 

Items for sale in person: VR sun shield – $25 each, Clings $5 each, wine tumblers $20 each. Please see Beth for sales.

Treasurer (Jerry):

Treasurer’s Report – Cash positive. Cambria Tour and European Cruise and Tour not reconciled yet.  We were approved in December for our 501(c)7 status and retroactive to 2021.

 

Social (Victoria for Julie):

First Tuesday Social Coming Up – 2/6 at Bluewater Grill

Planning a Charity event at Tea Space for Rose Again Foundation serving Foster Families on 3/30

Happy Hour at the Bakers for 2/10; waiting for confirmation

Porsches and Puppies event 4/20 or 4/21

 

Membership (Victoria for Susan)

– We have 2 new members (Welcome Mark Farris and Eric Rosenthal).   Total membership is 177 as we have some non renewals that we are hoping will jump back in.
– Name Tags Available: msreg.com/nametagsIf you have already ordered name tags in the past, we need to manually order them for you.  Contact Susan and/or Victoria for re-orders.

 

Tours (Richard):

Richard’s tours for us this month:

– Porsches and Coffee on 1/20

– Hump Day Tour on 1/31

– So Cal Coast and Canyons tour (2/26-2/29).

 

Sponsorship (Don)

Don is working on a discounts and deals link to the website.  He will work on a sponsorship program and submit to BOD for approval.

 

New Business: Tom’s Foreign Auto discussed what they do and their eagerness to partner with VR.
